Definitions and scope

These terms apply to every rental of studio space and equipment from ATLAS Framleiðsla ehf. (kt. 670125-2540), Tónahvarfi 12, 203 Kópavogur, Iceland ("ATLAS"). By confirming a booking, the customer accepts these terms in full.

  • Customer means the person or company named on the booking, and anyone they bring onto the premises or allow to use the equipment.

  • Who can rent. The customer must be 18 or older, or a registered company or institution. Anyone booking for a company confirms they have authority to bind it, must show proof on request, and is personally liable alongside the company. If that authority is in doubt, ATLAS may take back the equipment at any time without liability.

  • Studio means the ATLAS studio space, including cyclorama, lighting grid, power, furniture, and common areas.

  • Equipment means any camera, lens, lighting, grip, audio, or other item rented, whether used in the studio or taken off-site.

  • Expendables means single-use items such as gels, diffusion, gaffer tape and similar consumables. Expendables are sold, not rented. Unopened, undamaged items returned at the end of the Rental Period are credited.

  • Rental Period means the time from the booked start (or equipment pickup) until the booked end (or the equipment is returned and checked in). The minimum equipment rental is one day unless agreed otherwise.

  • Day rate means up to 12 hours of use. Half day means up to 6 hours.

All prices are in ISK and exclude 24% VAT unless stated otherwise. Terms agreed in writing for a specific booking take priority over these general terms.

Booking, payment and cancellation

A booking is confirmed only when ATLAS confirms it in writing and any required deposit has been paid.

  1. Quotes. Quotes are valid for 30 days. Prices may change without notice, but the price confirmed for a booking stands.

  2. Holds. A tentative hold lasts 48 hours. If another customer requests the same slot, the first hold gets 24 hours to confirm or release it.

  3. Deposit. ATLAS may require a security deposit or card pre-authorisation for equipment leaving the studio.

  4. Payment. The balance is due on pickup / on the rental day. Expendables are paid upfront. Approved business customers may be invoiced with 14-day payment terms. Late payments accrue penalty interest under Act no. 38/2001.

  5. Cancellation by the customer. Notice must be given in writing:

    • More than 7 days before the start: no charge, deposit refunded.

    • 3–7 days before: 50% of the rental fee.

    • Less than 72 hours before, or no-show: 100% of the rental fee.

  6. Rescheduling. One free move to a new date within 30 days, if given more than 72 hours before the start and subject to availability.

  7. Cancellation by ATLAS. If ATLAS must cancel, the customer gets a full refund or an alternative date. ATLAS is not liable for any further loss.

Studio use

The Rental Period includes load-in, setup, shooting, strike and load-out. The studio must be left as it was found by the booked end time.

  • Overtime. Time past the booked end is charged at 1.5× the hourly rate, billed in 60-minute blocks, if the studio is free. ATLAS may refuse overtime when another booking follows.

  • Capacity and safety. No more than 12 people on site. Fire exits, extinguishers and electrical panels must stay clear. Rigging to the grid or walls needs ATLAS approval.

  • Prohibited. Smoking, vaping, open flames, haze or smoke machines, pyrotechnics, glitter, confetti, live animals, and wet or messy effects (water, paint, food fights) are not allowed without written approval. Approved messy effects carry a cleaning fee of ISK 100.000.

  • Cyclorama. The cyc is painted white. Shoes off or shoe covers on the cyc floor. Repainting after scuffs, tape residue or footprints is charged at ISK 20.000 per coat. Custom colours are quoted separately.

  • Cleaning. The customer removes all props, set pieces and rubbish. A cleaning fee of ISK 60.000 applies if the studio needs more than normal cleaning.

  • Studio equipment. Lights, stands and grip included in the booking stay in the studio and are covered by section 4.

  • Conduct and noise. The customer is responsible for their crew, talent and guests, and must respect neighbours and building rules.

  • Access. ATLAS staff may enter the studio at any time.

Equipment rental

Equipment is the customer's responsibility from pickup until ATLAS has checked it back in.

  1. Identification. First-time customers show valid photo ID and, for companies, the kennitala and an authorised contact.

  2. Pickup and check-out. Both parties check the equipment against a handover list, at pickup and at return. The signed list (paper or digital) is the record of the equipment's condition. Defects not on the list and not reported in writing within 1 working day of pickup are treated as having happened during the Rental Period.

  3. Rental day. Pickup after 16:00 and return before 10:00 the next day counts as one day. Weekend rates: Friday pickup, Monday return = 1 day.

  4. Use. Equipment must be used by trained, competent people, for its intended purpose, following manufacturer guidance. The customer may not sell, sublet, lend, pledge or otherwise give up control of it.

  5. Location. Equipment may only be used at locations ATLAS has approved. For outdoor use, the customer provides weather protection (such as rain covers or a tent) at their own cost. Equipment may not leave Iceland without written approval.

  6. Power and compatibility. The customer makes sure the correct current, voltage and grounding are used, and that any third-party gear connected to ATLAS equipment is compatible.

  7. Special operations. Drone flights, underwater or marine work, vehicle or aerial rigs, and use in hazardous locations need 3 working days notice, written approval and separate insurance. Without these, the customer carries full liability.

  8. Crew and subcontractors. The customer is responsible for anyone they let use the equipment, as if the customer had acted themselves.

  9. Care. Protect equipment from rain, snow, sand, salt water, extreme cold and condensation. Use the supplied cases for transport and storage. Never leave equipment unattended in vehicles or public places. Equipment in transit is the customer's responsibility.

  10. Faults and accidents. Stop using faulty equipment and notify ATLAS immediately, and in writing within 24 hours. The customer may not repair or modify anything without permission. Any accident involving the equipment that causes damage or injury must also be reported to the relevant authorities. ATLAS will try to replace faulty items but is not liable for lost shooting time.

  11. Inspection. ATLAS may inspect the equipment at any time during the Rental Period.

  12. Return. Equipment returns clean, complete, packed as received, with batteries charged and media cards formatted. The customer is responsible for backing up their own footage; ATLAS does not keep data left on returned media.

  13. Late return. Each started day late is charged at the full day rate. If ATLAS cannot fulfil the next booking because of a late return, the customer also pays the resulting costs.

  14. Check-in. ATLAS inspects equipment against the handover list and notifies the customer of any charges within 5 working days of return. Normal wear and routine maintenance are ATLAS's cost; damage, missing items or excess cleaning are charged under section 5.

Damage, loss and insurance

The customer pays for any damage to, or loss of, the studio or equipment during the Rental Period, whatever the cause, except normal wear and tear.

  • Damage. The customer pays the actual repair cost, including transport and diagnostics. If ATLAS judges repair not worthwhile, the item is treated as a loss.

  • Loss. The customer pays the full replacement cost of an equivalent new item at current Icelandic retail price, with no deduction for age, wear or depreciation.

  • Theft. The customer files a police report immediately, notifies ATLAS within 24 hours, and gives ATLAS a copy of the report. If equipment is stolen through negligence, such as being left in an unlocked or unattended vehicle or an unsecured place, the customer pays the full replacement cost regardless of insurance.

  • Loss of rental income. Until a damaged item is repaired or a lost item is replaced, the customer pays [the full] day rate for each day it is out of service, up to 30 days.

  • Insurance. The customer must hold insurance that covers the full replacement value of rented equipment (including theft and accidental damage) and third-party liability for the full Rental Period. ATLAS may ask for proof before handing over equipment. Without proof, ATLAS may require a higher deposit or refuse to release the equipment, and the rental fee still applies.

  • Insurance payouts. Until ATLAS has been paid in full, any payment the customer receives from an insurer or third party for damage to ATLAS equipment belongs to ATLAS. The customer may not settle such a claim without ATLAS's consent.

  • Payment of claims. ATLAS may invoice the customer immediately, without waiting for any insurance settlement. ATLAS may deduct amounts owed from any deposit or card pre-authorisation. Any balance is due within [14] days.

Liability, indemnity and force majeure

ATLAS's total liability for any booking is limited to the rental fee paid for that booking.

  • Indirect loss. ATLAS is not liable for lost profits, lost footage or data, reshoot costs, delays, or other indirect or consequential loss, including from equipment failure or late delivery.

  • People and property. The customer is responsible for the safety of their crew, talent and guests. ATLAS is not liable for injury or for loss of the customer's own property on the premises, except where caused by ATLAS's gross negligence or wilful misconduct.

  • ATLAS crew. If ATLAS supplies an operator, technician or other crew with the rental, they work under the customer's direction on set. ATLAS is not liable for results that follow the customer's instructions.

  • Lawful use. The customer will not use the studio or equipment for anything unlawful, including copyright or other IP infringement, and pays any licence or royalty fees arising from their production.

  • Indemnity. The customer indemnifies ATLAS against claims from third parties arising from the customer's use of the studio or equipment, including content produced, music, image rights and permits.

  • Content and permits. The customer is solely responsible for obtaining releases, licences and filming permits for their production.

  • Force majeure. Neither party is liable for failure to perform because of events outside its reasonable control, such as severe weather, volcanic activity, power outages, strikes, pandemics, or government orders. Obligations are suspended until they can be performed. If that is not possible, ATLAS will offer a new date or refund amounts paid for the unused period.

Termination, governing law and acceptance

ATLAS may end a rental immediately, without refund, if the customer breaches these terms, endangers people or property, or fails to pay.

  • Grounds. ATLAS may also end a rental if the customer becomes insolvent or otherwise puts ATLAS's rights at risk.

  • Return on termination. The customer must return all equipment and vacate the studio at once. ATLAS may collect the equipment from wherever it is. All fees, costs and lost rental income caused by the breach are payable within [14] days of written notice.

  • Photos and promotion. ATLAS will not use the customer's content without permission. ATLAS may photograph the studio setup and equipment for condition records.

  • Privacy. Customer details are processed only to manage bookings and invoicing, in line with Act no. 90/2018 on data protection and the ATLAS Privacy Policy.

  • Entire agreement. These terms, the booking confirmation and the handover list form the whole agreement and override any other terms unless ATLAS agrees otherwise in writing.

  • No assignment. The rental is personal to the customer and may not be transferred to anyone else.

  • No waiver. If ATLAS delays enforcing any term, it does not give up the right to enforce it later.

  • Changes. ATLAS may update these terms. The version in force at the time of booking applies.

  • Governing law. These terms are governed by Icelandic law. If a dispute cannot be settled in good faith, it goes to Héraðsdómur Reykjaness (Reykjanes District Court).
